Cadre (“Cadre,” “we,” “us,” or “our”) provides a field service management platform for skilled trades and subcontractors (the “Service”). Cadre is operated by Modulyt Solutions LLC, a Virginia limited liability company.
This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website, web application, and mobile applications.
1. Who This Policy Covers
Cadre serves two groups of people, and your rights differ depending on which you are:
- Customers. Contracting businesses and their team members who hold Cadre accounts. We act as the controller of your account data.
- Your Clients. Homeowners and property owners whose details a Customer enters into Cadre. For this information we act as a processor on the Customer’s behalf. We do not have a direct relationship with your Clients. If you are a homeowner seeking access to or deletion of your information, contact the contractor who served you; we will support their request.
2. Information We Collect
2.1 Information you provide
- Account and profile: name, email address, phone number, business name, job title, and role.
- Billing: subscription tier and billing contact. Card details are collected and stored by our payment processor, not by Cadre.
- Operational data: customer records, job and project details, schedules, quotes, invoices, time entries, expenses, and notes you enter.
- Uploaded files: site assessment photos, expense receipts, and documents you attach.
- Support communications: messages you send us.
2.2 Information collected automatically
- Usage and device data: IP address, browser and device type, pages visited, and timestamps.
- Location: job site addresses you enter are geocoded to coordinates for mapping and route planning. We do not collect continuous device GPS location in the background.
- Cookies: see Section 9.
2.3 Automated features that use AI
Some optional features use a third-party AI provider (Anthropic) to interpret content you submit:
- Cost parsing. When you describe expenses in plain language, that text is sent to the provider to be split into line items.
- Receipt reading. When you upload a receipt photo and choose to extract costs, the image is sent to the provider to read amounts and descriptions. Receipt images may contain vendor names, purchase details, and partial payment information.
- Job assistance and suggestions. Relevant job details may be sent to generate summaries or recommendations.
These features run only when you invoke them. Content sent for processing is used to return a result to you and is not used by us, or by the provider, to train models. If you prefer not to use AI processing, enter costs manually instead.
2.4 Information from connected services
If you choose to connect a third-party account, we receive only what that connection requires. Connections are optional, and you may disconnect them at any time from your integration settings.

QuickBooks Online (Intuit). With your authorization we
access your QuickBooks accounting data under the
com.intuit.quickbooks.accountingscope in order to synchronize customers, invoices, items, and time activities between Cadre and QuickBooks. We request no other Intuit scopes. See Section 6. - Google Calendar. If enabled, we create and update calendar events for scheduled jobs on the connected calendar. We do not read unrelated calendar content for any other purpose.
- Stripe. When you connect a Stripe account to accept card payments, we store your Stripe account identifier and payment status. We never receive or store your customers’ card numbers.
2.5 What we do not collect
We do not collect Social Security numbers, government identification numbers, biometric data, or health information. We do not collect payment card numbers — those go directly to our payment processor. We do not knowingly collect information from anyone under 18.
3. How We Use Information
- Provide, operate, and maintain the Service.
- Authenticate users and secure accounts.
- Process subscription billing and, where you enable it, facilitate payments to you.
- Send transactional messages — quotes, invoices, appointment confirmations, and account notices — by email and, where the recipient has opted in, by text message (see Section 5).
- Synchronize data with services you have explicitly connected.
- Provide customer support and diagnose technical problems.
- Detect, prevent, and investigate fraud, abuse, and security incidents.
- Comply with legal obligations.
- Improve the Service, using aggregated or de-identified data that does not identify you or your Clients.
We do not sell or rent personal information. We do not share your data with advertising networks or data brokers. We do not use your operational data, or your Clients’ data, to train machine learning models for use outside your own account.
4. How We Share Information
We share information only in the following circumstances:
- Service providers who operate the platform under contract, limited to what each needs: cloud hosting and databases, file storage, authentication, transactional email and text message delivery, payment processing, mapping and geocoding, AI text and image processing (Anthropic), and error monitoring. A current list of subprocessors is available on request at support@buycadre.com.
- AI processing, as described in Section 2.3, when you invoke a feature that uses it.
- Services you connect, as described in Section 2.4, and only while the connection is active.
- Within your organization: data you enter is visible to other members of your Cadre organization according to the roles and permissions you configure.
- Legal requirements: when required by law, subpoena, or valid legal process, or to protect the rights, safety, or property of Cadre, our users, or the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets. We will notify you before your information becomes subject to a different privacy policy.
5. Text Messaging (SMS)
Cadre sends text messages on behalf of contracting businesses to clients who have an active service request, job, or appointment with that business. These are service notifications only — appointment confirmations and reminders, technician en-route alerts, and job completion and invoice notices. Every message identifies the contracting business it is sent for. We do not send marketing or promotional text messages.
- Consent. Text messages are sent only to individuals who have opted in — for example, by checking the consent box on a service request form or by agreeing when scheduling with the contracting business. Consent is not a condition of purchasing any service.
- What we collect. The mobile phone number provided, the opt-in consent record, and logs of messages sent and their delivery status.
- Opting out. Reply STOP to any message to stop receiving texts, or HELP for help. Opting out of text messages does not affect service emails such as appointment confirmations, invoices, and receipts, which are sent separately.
- Frequency and rates. Message frequency varies with your service activity. Message and data rates may apply.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding the messaging service providers necessary to deliver the messages.
6. QuickBooks Online Integration
This section describes our handling of Intuit data specifically.
- Authorization. Connecting QuickBooks uses Intuit’s OAuth 2.0 flow. Cadre never sees or stores your Intuit username or password.
- Scope. We request only
com.intuit.quickbooks.accounting. - Data accessed. Customers, invoices, items, accounts, and time activities, solely to keep your Cadre records and your QuickBooks company file consistent.
- Token storage. OAuth access and refresh tokens are encrypted at rest using AES-based symmetric encryption and are used only to make API calls you have initiated or authorized.
- Direction of sync. Cadre pushes records to QuickBooks when you or a member of your organization initiates a sync. We do not run background syncs without your action.
- Disconnection. You may disconnect at any time from Cadre’s integration settings, or revoke access from your Intuit account. On disconnection we delete the stored tokens. Records already written to QuickBooks remain in your QuickBooks company file and are governed by Intuit’s terms.
- No secondary use. We do not use Intuit data for advertising, do not sell it, and do not share it with third parties other than the infrastructure providers needed to operate the Service.
7. Data Retention
- Account and operational data is retained while your account is active.
- After account closure, data is deleted within 30 days, except where longer retention is required by law (for example, transaction and tax records).
- Backups are retained on a rolling 30-day cycle and are purged on that schedule.
- Aggregated or de-identified data that cannot be linked to you may be retained indefinitely.
8. Your Rights and Choices
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, to object to or restrict processing, and to withdraw consent. To exercise any of these, contact us at support@buycadre.com. We will respond within the timeframe required by applicable law and will not discriminate against you for exercising a right.
California residents (CCPA/CPRA). We do not sell or share personal information as those terms are defined by the CCPA, and we have not done so in the preceding twelve months. You may request disclosure of the categories and specific pieces of personal information we have collected, request deletion, and designate an authorized agent.
EEA, UK, and Swiss residents (GDPR). Our legal bases are contract performance (operating the Service), legitimate interests (security, service improvement), consent (optional integrations), and legal obligation. You may lodge a complaint with your supervisory authority.
Account deletion. You may request deletion of your account and associated data at any time by emailing support@buycadre.com.
9. Cookies
We use cookies and similar technologies that are strictly necessary to operate the Service — maintaining your session, remembering preferences, and protecting against fraud. We do not use advertising or cross-site tracking cookies.
10. Security
We use industry-standard safeguards including encryption in transit (TLS), encryption at rest for third-party credentials, scoped access controls, role-based permissions, and tenant isolation so that each organization can access only its own data. No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.
11. Data Location and Transfers
Our infrastructure and data are hosted in the United States. If you access the Service from outside the United States, your information will be transferred to and processed there, where privacy laws may differ from those of your country.
12. Children’s Privacy
The Service is intended for business use by adults. We do not knowingly collect personal information from anyone under 18. If we learn we have, we will delete it.
13. Changes to This Policy
We may update this Policy from time to time. We will revise the “Last Updated” date above and, for material changes, provide additional notice by email or in-app before the change takes effect.
